Quarterly client gifting in the UAE: keeping a candle programme running past December
A quarterly client gifting programme means four smaller touches a year instead of one December scramble. The arithmetic is set by two numbers on our price list: 300 units is the minimum per size, and the volume discount starts at 1,000 units. Gift 250 clients four times and the year clears that line.
Most of the gifting budgets we quote arrive in October and disappear by the middle of December. The list is the same list the company used last year, the brief is written in a hurry, and the order lands in the four weeks when every supplier in Dubai is already booked. Then nothing happens until the following October.
This page is for the buyer who wants to stop doing that: a developer with a handover list, a hotel group thanking corporate accounts, a distributor looking after stockists, a company with a few hundred names and a budget line called client appreciation. We are not going to quote you a retention percentage for gifting, because nobody publishes one we would defend in a procurement meeting. What we can do is show how the order side works when you spread corporate gifting across four quarters instead of one.
What the December-only habit actually costs
What goes wrong has nothing to do with taste.
Lead times collide. Print on the jar runs 10 to 14 working days after artwork approval, stickers about a week. Those are our normal windows and they do not stretch in November, which is exactly when the whole market wants the same slot. Our order calendar asks for a printed-jar brief five weeks before the handover, three weeks for labels in a collection design. For UAE National Day on 2 December that puts artwork at 28 October 2026, or 11 November if you stay on labels. For the Christmas and New Year handover on 15 December, the same rule gives 10 November and 24 November. Miss those and the honest answer is January.
The order sits under the discount line. A single annual run of 400 candles is a 400-unit order. Volume discounts begin at 1,000 units, where 5% comes off, then 7.5% from 3,000 and 10% from 5,000. A company gifting 250 people four times a year is buying 1,000 candles. Whether that 1,000 is priced as one commitment or four separate small orders is a question you settle on the quote, not after the first delivery.
The design gets paid for twice. A printed jar design starts from 300 units, and different fragrances can share one design. Re-briefing from scratch every autumn means new artwork, a new sample round and a new approval chain each time, for a gift that was already working.
Mapping a quarterly corporate gifting programme onto the UAE calendar
The UAE calendar is wider than Ramadan and National Day. The brief dates below are the ones on our seasonal collections order calendar, counted back from each handover.
| Quarter | What it hangs on in the UAE | Printed jars: brief by | Labels: brief by |
|---|---|---|---|
| Q4 2026 | Diwali on 8 November, UAE National Day on 2 December, year-end | 1 October / 28 October | 15 October / 11 November |
| Q1 2027 | Ramadan from around 8 February, Eid al-Fitr around 10 March | 4 January / 3 February | 18 January / 17 February |
| Q2 2027 | Eid al-Adha around 16 May, the event season before the heat | 11 April | 25 April |
| Q3 2027 | Summer travel, and Saudi National Day on 23 September for GCC accounts | 5 weeks before handover | 3 weeks before handover |
Ramadan and both Eids follow the moon, so treat those dates as plus or minus a day and build the schedule off the brief date, not the occasion. Q4 is the congested quarter and Q1 carries two occasions close together, which is why the Ramadan brief sits in early January while most teams are still recovering from the year-end order.
Pull your own event list over that grid before you commit. Exhibitions, an annual client conference, financial year-end and the week your sales team comes back from summer are all better reasons to send something than a date a supplier picked for you.
The 300-unit minimum sets the schedule, not the budget
Here is where most quarterly plans break. If your list is 250 names, you cannot place four orders of 250, because 300 per size is the floor. What works instead is splitting the order, not the list.
One run, four releases. You order 1,000 units of a single size once, approve one design, and release them against your own calendar through the year. This is the cleanest route to the 1,000-unit threshold and to a single artwork approval.
Two runs, two sizes. You order 500 of one size and 500 of another, each clearing the 300 minimum, and alternate them by quarter. The year still totals 1,000 units.
Who holds the stock between waves is the part to put in writing before you plan the year this way. Dubai delivery is included in our prices, the rest of the UAE is free from 1,000 units and charged below that, and Saudi Arabia and the other GCC countries are priced per shipment on request. Ask for the storage and delivery arrangement on the quote rather than assuming it.
What a year of four touches costs at published prices
Published, from, excluding VAT, from 300 units per size. The right-hand column applies the 5% volume discount that starts at 1,000 units.
| Per-candle setup | From, excl. VAT | 1,000 units across the year |
|---|---|---|
| 100 ml clear jar, sticker | AED 75 | AED 71,250 |
| 200 ml, sticker, kraft box, box sticker | AED 105 | AED 99,750 |
| 200 ml, printed jar, printed box | AED 120 | AED 114,000 |
| 300 ml, printed jar, printed box | AED 140 | AED 133,000 |
The base price of AED 70, 90 and 110 for 100, 200 and 300 ml covers the jar, a standard wick, soy wax, a bamboo or metal lid, and one of our base fragrances. Branding and packaging are the per-unit add-ons: sticker AED 5, single-colour print on the jar AED 15, kraft box AED 5, box sticker AED 5, printed box AED 15, fabric pouch AED 3, wooden wick AED 15. Packaging design work is quoted on request. The full list sits on pricing, and your final number moves with the fragrance, the jar and the packaging you pick.
A useful line for the finance conversation: 1,000 printed 200 ml candles come to AED 114,000 after the volume discount whether you hand them all out in one December week or spread them over four quarters. The budget does not move. What moves is how many times a client holds something with your name on it.
One printed jar, four fragrances
The reason a candle survives a quarterly rhythm better than most gifts is that the vessel and the scent are separate decisions. A printed jar design starts from 300 units, and several fragrances can run under one design. So the jar your clients recognise stays the same all year while the fragrance changes each quarter, and you are not paying for new artwork to avoid repeating yourself. We carry 150+ fragrances to choose from.
Jar options as they stand: clear glass in all three sizes, black matte and white frosted in 200 and 300 ml. The 100 ml comes in clear only. That matters for a programme because a colour change between quarters is available in the two larger sizes, not in the small one.
Size is the other lever. Roughly 25 hours of burn time in the 100 ml, 35 in the 200 ml, 45 in the 300 ml. A sensible split is 100 ml for the two lighter touches, 300 ml with a wooden wick for the quarter that has to land, usually year-end or a handover. Our retail collection for Maison Morganti runs on the same logic: one jar, several fragrances, one line a client recognises on the shelf.
Working backwards from a quarter
The sequence is the same every time, which is the point of running it as a programme.
- Fragrance and format agreed, artwork sent for the jar or the sticker.
- Sample approved. Samples are AED 100 with a sticker label and AED 250 with print on the jar, and both are credited against an order of 300 units or more.
- Production window after approval: about a week for sticker labels, 10 to 14 working days for print on the jar.
- Payment is 50% to start and 50% before dispatch.
- Then your own distribution time, which is the step buyers forget. Courier packs, reception handovers and a sales team doing visits in person all need days that are not ours.
Six weeks from brief to doorstep is a comfortable plan, four weeks is tight but workable on labels. We wrote the detailed version of this in our guide to candle production lead times.
Once the first quarter is approved, later quarters only need the fragrance sign-off and the order. That is where a programme actually saves money, in approvals you do not repeat.
The quarter half your list is out of the country
July and August are the honest gap. Recipients travel, offices run thin, and a gift that sits at an empty reception desk for three weeks is wasted. Here is what to do with Q3 instead of skipping it.
Make it the smallest touch of the year, or move it to the second half of September when people are back. For GCC accounts, Saudi National Day on 23 September gives the quarter a reason to exist, with shipping to Saudi Arabia quoted per order.
Use the quiet weeks for the Q4 approvals. Artwork, sample, fragrance sign-off and the order itself can all be closed in August for a November and December delivery, which is how you stay out of the queue that forms in the first week of November.
If you want the year mapped against your own list and delivery points, send the recipient count, the quarters you want to hit and the emirates or countries involved through our request form, or message us on WhatsApp at +971 55 281 9889 and we will come back with a quote per quarter and for the year as one commitment.
FAQ
How often should a company gift its clients in the UAE? Four times a year is the pattern that fits both the calendar and our order minimums: one touch per quarter, with the largest at year-end. Companies with fewer than 300 names on the list are usually better off with two touches of 300 units and a bigger gift each time, because 300 units per size is the production floor.
Do four quarterly orders of 250 candles get the volume discount? Not as four separate orders of 250, since each would also sit under the 300-unit minimum per size. Commit to the annual volume as one order of 1,000 units and the 5% applies, with 7.5% from 3,000 and 10% from 5,000. Ask for both versions on the quote and compare them.
Should every quarter use the same candle? Keep the jar and the branding the same, change the fragrance. A printed design starts from 300 units and several fragrances can share it, so the recognisable part of the gift stays fixed while the contents change. Varying the size between quarters works too, with the limit that 100 ml is clear glass only.
What has to be approved before the first quarter ships? Fragrance, size, jar, branding method and packaging, then one physical sample. Samples are AED 100 with a sticker label and AED 250 with print on the jar, credited back against an order of 300 units or more. Collection images on our site are concepts, so jar colour and the availability of a specific fragrance are confirmed on the sample.
What about recipients outside Dubai and in Saudi Arabia? Delivery inside Dubai is included. The rest of the UAE is free from 1,000 units and charged below that. Saudi Arabia and the other GCC countries are quoted per shipment, so send the delivery points with the recipient count and the quote will carry the freight line separately.
